Licensee Portal

The Virginia ABC Licensee Portal provides a foundation for enhancing licensee communication and improving the ease with which licensees conduct business with the agency.

Currently, the Licensee Portal is focused on providing mixed beverage licensees with easy and secure access to ordering and reporting history, as well as facilitating licensee renewal.

Future enhancements will increase the value of the portal to all ABC license types, from shipping to special events, facilitating licensing and permitting, e-commerce, reporting and other key business interactions with the agency.

 

Current Features

License Information

The portal provides basic license information for each license. When a license is up for renewal, a link is provided that facilitates online renewal. Additionally, users can sign up for the Licensee e-newsletter and manage their communication preferences.

Please note: Any official change to license information must be communicated to your special agent through your regional office.

Managing Access

Users may request access to the portal for a particular license. The administrator(s) for each license can distribute permission to other individuals to view ordering and reporting history. If a license has multiple owners, the first owner who registers in the system will gain administrative rights and can distribute these rights as needed to other owners.

Please note: Administrative rights for each license are granted to the first owner for that license who requests access.

Ordering

The portal provides the details of the previous three months of online licensee orders. This information reflects the final order, inclusive of both the original online order and any change that was made at the point of sale. A “Create Online Order” link is provided that directs users to the online restaurant ordering system.

Reporting

The portal provides previous Mixed Beverage Annual Review (MBAR) reports as PDF downloads. An “Access MBAR” link is provided that directs users to the online MBAR system.

 

Using the Portal

To use the Licensee Portal, you must first create an account. With an account, you are able to sign in to the portal and request access to a specific license.

Initiating Portal Access

  • An owner initiates portal access for the license by authenticating his/her personal information with Virginia ABC. If there are multiple owners, any owner may be the first to request access. Once initiated, the primary owner will gain the ability to grant access to other owners and other individuals, as desired.
  • Click “My Account” in the page header and select the “Licensee" option. Sign in as a licensee using your credentials. 
  • Click “My Account” again and choose “Licenses”.
  • Initially, you will not have licenses associated. To gain access, choose "Click here to view Authorization Requests," you will enter a secure administrative area.
  • As the first owner to request access, select "As Owner and Administrator." Provide your last name, date of birth and social security number. This information is checked against the license information in Virginia ABC’s secure database; if the information matches, then the initiation process is complete, and you become the administrator for all of your associated license(s). Personal information such as social security number and date of birth will never be stored on the Virginia ABC website, but remain in the existing secure database. View privacy policy.
  • After access is granted, your license information is available whenever you are logged in to your account.
  • As primary owner, you have full administrative privileges in the portal—this includes the ability to grant access for other owners and non-owners. Please note: To remove access for a user, anyone with administrative privileges must contact Virginia ABC at (844) 694-9965.
  • Once your license access is initiated, additional owners and non-owners can request access from any previously initiated administrator

Additional Owners

  • Click “My Account” in the page header and select the “Licensee" option. Sign in as a licensee using your credentials. 
  • Click “My Account” again and choose “Licenses”.
  • Initially, you will not have licenses associated. To gain access, choose "Click here to view Authorization Requests," you will enter a secure administrative area. 
  • Select "As Owner and Administrator." Provide your last name, date of birth and social security number. This information is checked against the license information in Virginia ABC’s secure database; if the information matches and you are not the first owner to initiate access, you will receive a message stating the owner(s)/administrator(s) has been contacted to grant access. Personal information such as social security number and date of birth will never be stored on the Virginia ABC website, but remain in the existing secure database. View privacy policy. 
  • Once an administrator completes the request, you will receive an email notifying you what access you have been granted. 
  • You will have access to your associated licenses and based on the access granted, you may view reporting or order history for those licenses. If additional access is needed in the future, another request will need to be submitted.

Non-owners

  • Click “My Account” in the page header and select the “Licensee" option. Sign in as a licensee using your credentials. 
  • Click “My Account” again and choose “Licenses”.
  • Initially, you will not have licenses associated. To gain access, choose "Click here to view Authorization Requests," You will enter a secure administrative area. 
  • Select "As Non-owner." Provide the license number(s), separated by commas and any comments you may want to send the administrator via email. You may use the comment field to notify an administrator of specific access you are requesting, whether reporting history or order history. Once submitted, this will generate an email to all administrators, who can grant or deny access.
  • Once an administrator completes the request, you will receive an email notifying you what access you have been granted.
  • You will have access to your associated licenses and based on the access granted, you may view reporting or order history for those licenses. If additional access is needed in the future, another request will need to be submitted.

Privacy and Security

Last names, social security numbers and dates of birth are used for identification purposes. Virginia ABC considers all personal information as confidential information and does not provide information to any entity except as authorized by COV 58.1-3 or COV 2.2-3700 et. seq. This information is not stored on the Virginia ABC website, but remains in the existing secure database. View privacy policy.

Please note: The primary owner has full administrative responsibilities within the licensee portal. By approving requests for access, the primary owner takes full responsibility for granting access to license information contained within the Virginia ABC licensee portal, to include MBAR reports and past restaurant order history.
